What is Copilot Chat?

In a Sentence Your Company’s Approved AI Chat Tool

Microsoft 365 Copilot Chat is your company’s approved AI chat tool. It uses the latest AI models and current web information to answer questions, generate content, and find information — while protecting your data.

With Copilot Chat (Basic) you can:

  • Upload files (Word, PowerPoint, Excel, PDFs, images) to get answers grounded in your documents.
  • Generate one image per day from a text description.
  • Visualize data with tables and charts.
  • Refine and iterate on answers in the same conversation.

When you’re signed in with your work or school account, a green shield appears next to “New chat.” That’s how you know Enterprise Data Protection is active and your conversation stays inside your company’s protection.

Getting Started

How to Access Copilot Chat

In the Browser m365copilot.com
  1. Open your browser and go to m365copilot.com.
  2. Sign in with your work or school account.
  3. Confirm the green shield appears next to “New chat.”
Inside Microsoft 365 Apps Look for the Copilot Icon

Look for the Copilot icon pinned in the left navigation of Teams, Outlook, and the Microsoft 365 app. If you don’t see it, your admin or you can pin it from the app’s settings.

On Mobile The M365 Copilot App

Install the Microsoft 365 Copilot mobile app and sign in with your work or school account.

A Quick Tour of the Interface

Six Things to Know What Each Area Does
  • Prompt box — the main place you type. You can paste text, drag files in, or click the paperclip to attach.
  • Suggested prompts — Copilot offers starter prompts to get you going. Click See more for the full Prompt Gallery.
  • Left navigation — quick access to Search, Chat, Agents, and Create (Conversations, Pages, Apps).
  • Chat history — every conversation is saved. Click any past chat to pick up where you left off.
  • Response toolbar — under each answer you’ll find Copy, Regenerate, Thumbs up/down, and Read aloud.
  • Settings (top-right ) — Personalization, Custom Instructions, and Copilot Memory live here.

Four Ingredients Goal, Context, Source, Expectations

Think of prompts like asking a smart assistant for help. The four ingredients that make a good prompt:

  • Goal — what do you want Copilot to do?
  • Context — why do you need it, and who is involved?
  • Source — which information should Copilot use?
  • Expectations — what should the answer look or sound like?

How Paperclip, Drag-and-Drop, or Context IQ

Want Copilot to use a Word document, slide deck, spreadsheet, PDF, or image? Click the Add content (paperclip) button in the prompt box, or drag the file in from your desktop.

  • Supported types: Word (.docx), PowerPoint (.pptx), Excel (.xlsx), PDF, and common image formats (PNG, JPG).
  • Image files must be uploaded or dragged in. The “/” Context IQ picker doesn’t include them.
  • Very large files may be summarized only partially. Trim the doc or focus your question if you hit a limit.

Daily Limit One Generation Per Day for Basic

Copilot Chat can create images from a text description. With Copilot Chat (Basic), users without a Copilot license get one image generation per day, so use it on prompts that matter.

A good image prompt names the subject, the style, the lighting, the mood, and the purpose.

Personalize Teach Copilot About You

Memory lets Copilot get to know you so future answers feel more relevant. The more Copilot knows about your role, your projects, and your writing style, the better it tailors its responses.

Try this: Run the same question without the word limit and the analogy to see how much your wording shapes the answer.

When to use: Staying current with what’s happening in your industry.

What have been the biggest trends in retail over the past 6 months? Summarize using recent web articles and industry analyst reports. Give me 5 trends with one short paragraph of context per trend.

Make it yours: Switch “retail” to your industry — manufacturing, healthcare, financial services — and run it again.

When to use: When you need to brief yourself before a meeting or pitch.

In Copilot Chat (Basic), free users get one image generation per day, so use it on a prompt that’ll wow the room.
Prompt
Generate a bright, photorealistic image of a friendly retail store associate helping a customer in the apparel section of a modern clothing store. The lighting should be warm and natural, the background detailed and welcoming, and the scene should feel inclusive of a diverse range of customers. I’ll use this image in a training deck about excellent customer service.

Iterate: Got the result? Try asking Copilot to “make a second version with a different background” — but remember the daily limit.

When to use: Once. After this, every future response is more relevant.

Prompt 1 — Get to know me
Ask me 10 short questions about myself — my job, what I work on, what I find frustrating, how I like to communicate — to get to know me better so you can give me more relevant answers going forward. Ask them one or two at a time and wait for my reply. Remember the results for future interactions.
Prompt 2 — Learn my writing style
Ask me 5 questions to learn more about my writing style — things like tone, sentence length, words I use, and any phrases I want you to avoid. After I answer, summarize my style in a short paragraph I can save. Remember the results for future interactions.
